1. Who we are

Hotel Insider ("we", "us") is a Rate Optimization System for independent hotels. This policy covers the personal data we process through this website — not the product dashboard itself, which is governed by your organization's own data-processing agreement with us.

2. Information we collect

Information you give us directly

• Contact details submitted through our contact form or demo requests (name, email, hotel name, message).
• Your email address if you subscribe to the Research Lab newsletter.

Information collected automatically

• Basic usage data (pages visited, referring page, approximate location from IP, device/browser type) — only if you accept optional cookies. See Cookies below.

We do not knowingly collect sensitive personal data (health, financial account numbers, government IDs) through this website.

3. Cookies

We use two categories of cookies, matching the choice in the banner shown on your first visit:

• Necessary cookies — required to run the site (e.g. remembering your cookie choice itself). These are always on and don't require consent under EU law, since the site can't function without them.
• Optional cookies — analytics that help us understand how the site is used. These only run if you click "Accept all"; choosing "Necessary only" keeps them off. You can change your choice at any time via Cookie preferences in the footer.

4. How we use information

• To respond to demo requests and contact-form messages.
• To send the Research Lab newsletter, if you subscribed — you can unsubscribe from any newsletter email.
• To understand aggregate site usage and improve the pages you're reading now, if you accepted optional cookies.

We do not sell personal data, and we do not use it to serve third-party advertising.

5. Sharing

We share data only with service providers who help us run the site and business — for example email delivery and website hosting — under contracts that limit them to processing it on our instructions. We do not share it with data brokers or advertisers.

6. Retention

Contact-form messages and demo requests are kept for as long as needed to respond and for a reasonable follow-up period, then deleted. Newsletter addresses are kept until you unsubscribe. Cookie-based analytics data is retained per our analytics provider's standard retention window.

7. Your rights

If you're in the EU/EEA or UK, under GDPR you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data.
• Object to or restrict certain processing.
• Receive your data in a portable format.
• Lodge a complaint with your national data protection authority.

8. Security

We use reasonable technical and organizational measures to protect the data we hold. No method of transmission or storage is perfectly secure, but we work to keep this in line with industry practice for a company of our size.

9. Children

This site isn't directed at children, and we don't knowingly collect data from anyone under 16.

We'll update the date at the top of this page when this policy changes. Material changes will be noted here for a reasonable period.
